HILL COUNTRY PREMIER LODGING – GUEST INFORMATION

Reservations, Check In & Policies

Hill Country Premier Lodging accepts all major credit cards. We only accept one credit card per reservation. If you wish to divide the reservation cost among more than one card, we reserve the right to charge an additional $5.00 fee per credit card added to your reservation.

Deposit: A deposit equal to one night lodging is required at time of reservation. Your balance due will be charged 30 days before arrival. There is a 6%-13% (depending on location) hotel tax and a 7% service fee that will be included on all reservations.

Cancellations: Reservations cancelled 30 days or more prior to your arrival date are fully refundable less a $50.00 service fee. If you cancel your reservation within 30 days of your expected arrival, your payment will be refunded to you less a $50.00 service fee if, and only if, the property you reserved is rebooked for the same dates. If it is not rebooked, your entire payment is non-refundable. Refunds will be made by check or credit card that was used for the initial payment. Cancellations within 24 hours of your scheduled arrival date are non-refundable. Please note, no deductions of guests, pets or reserved dates may be made less than 30 days prior to check-in.

Important Note: Once we receive your credit card information you are booked and confirmed and all cancellation policies do apply. This applies to online bookings, emailed bookings and verbal bookings taken by our customer service representatives over the telephone.

Check in: 4:00 p.m. – 6:00 p.m. Check out: 11:00 a.m.. If your estimated arrival time is before 4:00 pm please plan to stop on the way at the shops or sights to delay your arrival until 4 pm. In the event that a property is ready ahead of schedule and available for you to get in early, you will need to get prior approval from one of our associates. But please be aware there is a $50.00 per hour fee for each hour prior to normal check in time. The same applies to late departures. In the event your property has not been scheduled for cleaning right away, we will extend the check out with the understanding there is a $50.00 per hour fee for each hour past normal check out time.

*Hill Country Premier Lodging and the individual property owners it represents cannot be held responsible for any damages or injuries.

*Additional charges may be applied after departure due to extra cleaning or damages to a property.

*Hill Country Premier Lodging and its owners are not responsible for items left behind in any of our properties. Please make sure you check every room before you leave. There will be a $25.00 service charge plus shipping for items left behind that you would like to be returned to you. However we cannot guarantee we will be able to locate those items.

*Pets are NOT Allowed unless you are visiting one of our pet friendly properties. Please search by pet friendly for a full listing of these properties. There is a standard pet fee of $25.00 per pet per night assessed to your reservation. If you do not register the pet with our office prior to your arrival, you will be fined a minimum of $250.00 at check out.

*All of Hill Country Premier Lodging’s listings are Non-Smoking properties.

*No Day Guests are permitted. Only registered guests and registered pets are permitted on the property at all times. If you have any guests or pets at the property at any time that exceeds the registered number of guests or pets on your reservation, you will be fined. Violators can be asked to leave in which case there will be no refunds for the time remaining on the reservation.

Keys: A $25.00 fee will be charge for lost keys. You are responsible for returning the keys back to our office on your scheduled departure date. If you are staying at a location that did not require you to pick up keys from our office, please return the key where it was left for you to avoid a lost key fee.

Policy Statement:
 Hill Country Premier Lodging properties are privately owned; the homeowner nor Hill Country Premier Lodging are not responsible for any accidents, injuries or illness that occur while on the premises or its facilities. The Homeowner or Hill Country Premier Lodging are not responsible for the loss of personal belongings or valuables of the guest. By accepting this reservation, it is agreed that all guests are expressly assuming the risk of any harm arising from their use of the premises or others whom they invite to use the premise.

Standard Security Release Form:
 All properties require that a standard security release form be completed, signed with a hand-written signature and returned to Hill Country Premier Lodging within two business days from booking date. Guests making a reservation less than 48 hours from their arrival date must get the rental agreement to us prior to check-in. Guests booking multiple properties are required to send a completed rental agreement for each property booked. The forms will be emailed to you with your confirmation on the day of your booking. If you do not receive them the day you make your reservation please check your “Spam” folder. If you still have not received the email please call us immediately. If we do not receive your signed agreement form within the allotted time frame Hill Country Premier Lodging reserves the right to cancel your reservation.

Rental Damage Waiver: This damage waiver plan covers unintentional damages to the rental unit that occur during your stay, provided they are disclosed to the management company prior to check-out. The policy will pay a maximum benefit of $1500.00, with a fee of $45.00. Any damages that exceed $1500.00 will be charged to the credit card on file. If, during your stay at one of our Rental Properties, an Insured Person causes any damage to Real or personal property of the unit as a result of inadvertent acts or omissions, the insurer will reimburse the insured for the cost of repair or actual cash value of such property up to maximum benefit of $1500.00.

By paying a fee of $45.00 for this plan, you authorize and request HPCL to pay directly the owner of the property, or necessary repair vendor any amount payable under the terms and conditions of the vacation rental damage.

This is required on all properties that rent for $350.00 a night and over. This waiver is available for other Rental Properties under $349.00 a night if requested by guest for the fee of $45.00.

Travel Insurance: Travel Insurance can be added to this Agreement. Please review the information regarding travel Insurance enclosed with this agreement and our cancellation policy. Travel Insurance can help protect you from certain unexpected risks offering protection for trip cancellation, trip interruption and travel delay.
